HubSpot
Send every lead and its LinkedIn activity to HubSpot.
Beta
The HubSpot integration is in beta. Ask the Sendable team to turn it on for your workspace.
Once HubSpot is connected, each lead you send becomes a contact in HubSpot, associated with its company, with its whole history: the signal that found it, the campaigns it joined, each invitation and profile visit, and every LinkedIn message sent or received.
Connect HubSpot
Open the HubSpot integration
Go to Settings > Integrations > HubSpot and click Connect. HubSpot only shows in the settings once the beta is on for your workspace.
Allow Sendable in HubSpot
HubSpot asks you to pick an account and to approve the access Sendable needs. You need the right to install apps in that HubSpot account: a Super Admin has it.
Back in Sendable
You land on the HubSpot page with the message HubSpot connected. Nothing is sent to HubSpot yet: you choose the leads first, then start the import.
Only an owner can connect HubSpot. Other members see the page but can't change anything.
Start the import
Pick the leads to send. Each choice shows how many leads it sends:
| Choice | Leads sent |
|---|---|
| Every lead | Every lead, as soon as it is in Sendable |
| Once contacted | Leads your team contacted on LinkedIn or talked to in the inbox |
| Once they reply | Leads who replied |
| Once interested | Leads marked Interested |
Then click the button, for example Import 4,767 leads. Nothing reaches HubSpot before that, not even new activity.
Leads in HubSpot shows the progress, for example 1,200 / 4,500, and updates on its own. A large workspace takes a few hours. Then the card reads Up to date: new leads and new activity reach HubSpot within minutes.
- Stop pauses the import. Contacts already in HubSpot and new activity keep syncing.
- Import 3,300 leads (or Resume) starts it again.
- Resync, once up to date, sends the leads missing from HubSpot right away, including the ones HubSpot refused.
A Sendable workspace connects one HubSpot account, and every team sends its leads to it. It can connect Attio at the same time: each CRM syncs on its own.
Change the leads to send
Click Stop first if an import is running. Changing Leads to send or Teams sends nothing right away: if the new choice adds leads, the card shows 702 leads to import with an Import 702 leads button. Leads already in HubSpot stay and keep syncing, whatever you choose.
With several teams, Teams limits HubSpot to the teams you pick. Leave it empty for every team. Leads of a team you remove stay in HubSpot but stop syncing.
What Sendable sends
Contacts and companies
Every lead you chose to send is sent, except rejected ones (see below).
- Sendable looks for the contact in HubSpot by email, then by LinkedIn profile, and creates it if none is found.
- It looks for the company by domain, then by name, and creates it if none is found. The company becomes the contact's primary company.
- It fills the first and last name, email, job title, LinkedIn profile, phone number and company only when they are empty in HubSpot. Values already filled in HubSpot are never overwritten. A phone number is sent only with its country code, for example +33 6 12 34 56 78.
- It fills the company's name, domain and description when they are empty in HubSpot.
- When you edit one of these values in Sendable, Sendable updates it in HubSpot too, as long as it was Sendable that wrote it and nobody changed it in HubSpot since. A value someone changed in HubSpot stays as it is.
- Renaming or archiving a campaign or a signal, renaming an inbox label or removing a lead from a campaign updates the Sendable properties below within minutes.
If your HubSpot account requires a legal basis for processing contact data (its GDPR settings), Sendable sets Legitimate interest - Lead on the contacts it creates: they are people you prospect. Contacts you already had keep theirs, and you can change it in HubSpot at any time.
The LinkedIn profile goes to HubSpot's own LinkedIn URL property when your account has it, otherwise to a LinkedIn URL (Sendable) property that Sendable adds.
Each Sendable custom field with a value becomes a text property on contacts, named after it with (Sendable) at the end, for example Industry (Sendable). It follows the value in Sendable.
The Notes of a lead are added as a note on the contact, updated when you edit them in Sendable.
Sendable properties
Sendable adds these properties to contacts in HubSpot, in a Sendable group, so you can filter, segment and build lists on them. They are kept up to date.
| Property | What it holds |
|---|---|
| Sendable status | New, Contacted, Replied or Interested |
| Last LinkedIn interaction | The last LinkedIn action, message or reply between your team and this person |
| Sendable lead | A link that opens this person in Sendable |
| Sendable labels | The inbox labels of this person's LinkedIn conversations |
| Sendable campaigns | The Sendable campaigns this person is in |
| Sendable signals | The Sendable signals that found this person |
A label, campaign or signal whose name contains a semicolon (;) is left out of these properties: HubSpot uses it to separate values.
If you delete one of these properties or change its field type in HubSpot, Sendable stops writing to it.
Activity
Activity appears on the contact's timeline, also associated with the company, at the date it happened.
| Activity | What it contains |
|---|---|
| Message | Each LinkedIn message, sent or received, with its text and the LinkedIn account that sent or got it |
| Campaign step | Invitation sent (with its note), invitation accepted, profile visited, post liked, invitation withdrawn |
| Lead update | Found by a signal (with why it matches), added to a campaign, marked Interested or no longer Interested |
Messages are logged as HubSpot LinkedIn messages, the same kind of activity as one logged by hand; campaign steps and lead updates are notes. Images, voice messages, videos and attachments are mentioned in the message but not uploaded. Group conversations are not sent.
When a lead is sent for the first time, its whole history comes with it.
Every conversation is sent
HubSpot receives the LinkedIn conversations of every account in the workspace, whatever the Inbox access of each member in Sendable. Anyone with access to these contacts in HubSpot can read them.
Rejected and deleted leads
A lead is rejected when it has been excluded or blacklisted everywhere it appears and has no conversation. Rejected leads are not sent.
When a lead already in HubSpot becomes rejected, or is deleted in Sendable:
- if Sendable created the contact, the contact is deleted from HubSpot, with anything added to it there;
- if the contact was already in HubSpot, it stays, with its activity, and is no longer updated.
Skip people already in HubSpot
A signal can skip the people you already have in HubSpot, so you don't prospect your customers or your open deals again. In the signal's Agent step, under Exclude, in the CRM section, turn on Already in HubSpot. The switch shows once HubSpot is connected.
- Sendable compares the LinkedIn profile of each person found with the LinkedIn profiles of the contacts in your HubSpot account. Contacts without a LinkedIn profile in HubSpot can't be matched.
- People Sendable itself added to HubSpot are not skipped: the other rules, like Already contacted, take care of them.
- Skipped people count as Already in your CRM in the signal's Not matched details and use no credit.
The first time a signal uses it, Sendable reads the contacts of your HubSpot account, which takes a few minutes for a large account. Contacts added in HubSpot, or whose LinkedIn profile changes, are picked up within minutes.
Open a lead in HubSpot
In Sendable, the lead sheet shows a HubSpot button once the lead is in HubSpot: Open in HubSpot opens the contact in a new tab.
If HubSpot refused the lead, the button is orange and reads Not in HubSpot, with the reason. It opens the HubSpot settings.
From HubSpot, the Sendable lead property of the contact and the Open in Sendable link of each note and LinkedIn message open the lead in Sendable.
Leads HubSpot refused
HubSpot sometimes refuses a lead, for example when a value doesn't match a rule of your HubSpot account. The Leads in HubSpot card then shows how many leads are not in HubSpot, and owners see each lead with the reason HubSpot gave.
Fix the value in Sendable and the lead is sent again on its own. If the problem was on the HubSpot side, an owner clicks Resync once it is solved.
Disconnect HubSpot
An owner can click Disconnect on the HubSpot page. Sendable stops sending leads and activity. What is already in HubSpot stays there.
If you connect the same HubSpot account again later, Sendable first checks what is still there. Contacts still in HubSpot stay linked to their leads, so nothing is sent twice. Leads whose contact was deleted in HubSpot while Sendable was disconnected are sent again. As after a first connection, you choose the leads and start the import yourself.
If you reconnect while Sendable is still deleting the contacts it added, the deletion stops.
To also remove what Sendable added, tick Also delete the contacts and companies Sendable added to HubSpot before you click Disconnect and delete. Sendable deletes every contact it created in HubSpot, with anything added to them there, then the companies it created, unless one of your own contacts is still associated with them. What you already had in HubSpot stays.
Changes made in HubSpot
- When you delete a contact in HubSpot, Sendable doesn't add it back, even if the lead changes in Sendable. Reconnecting HubSpot is the only exception: it sends again the leads whose contact is gone.
- When you merge two contacts in HubSpot, Sendable keeps syncing the merged contact.
Sendable doesn't bring values edited in HubSpot back into Sendable.
Permissions
Sendable asks HubSpot for access to:
- contacts and companies, to find, create and update them, and to add notes and LinkedIn messages to their timeline;
- the contact properties' settings, to add the Sendable properties.
HubSpot also lets Sendable know when a contact is deleted, merged or restored, or when its LinkedIn profile changes.
Troubleshooting
| You see | What to do |
|---|---|
| Sendable lost access to your HubSpot account | Someone uninstalled Sendable from HubSpot. Owners also get an email. An owner clicks Reconnect, picks the same HubSpot account, then starts the import again. |
| HubSpot sync is failing | Sendable couldn't reach HubSpot for a while. It retries on its own every few minutes; contact the Sendable team if it lasts. |
| Only an owner of your workspace can connect HubSpot | Ask an owner of your Sendable workspace to connect it. |
| HubSpot is not available for your workspace yet | The beta is not on for your workspace. Ask the Sendable team. |
| HubSpot could not be connected | Start again. If it keeps failing, contact the Sendable team. |
| HubSpot connection cancelled | You clicked Cancel in HubSpot. Start again. |
| A value is missing on a contact | HubSpot refused it, for example an invalid email. Sendable sends the contact without it. |
Reconnecting with a different HubSpot account starts from scratch: nothing is carried over from the previous one.
